What information is needed for an accurate freight quote?

A quote-ready freight request identifies the packed cargo, exact pickup and delivery points, cargo-ready date, Incoterm and every product feature that can change carrier acceptance or customs handling. This checker finds missing categories; it does not certify that the answers are correct.

How the checker works

Tick an item only when you can provide it to the forwarder. The score is the number of completed decision-critical inputs divided by nine. A partial set may support a planning estimate, while all nine categories support a more useful comparison subject to live validation.

When this checker applies—and when it does not

Use it before requesting courier, air, LCL, FCL or door-to-door freight. It is useful for one supplier, several suppliers or warehouse delivery. Do not use the score as a carrier acceptance decision, customs ruling, dangerous-goods declaration or guarantee of final price.

Required information and documents

Prepare outer package count, dimensions, gross weight, a specific commodity description, pickup and delivery locations, ready date, Incoterm with named place, and special-cargo declarations. Add declared value, HS code if available, packing list, commercial invoice and product documents when the route or cargo requires them.

From request to booking

  1. Complete the nine input categories.
  2. Calculate packed CBM and chargeable weight where relevant.
  3. Ask the forwarder to separate origin, main freight, destination, customs and delivery scope.
  4. Compare quotations using the same assumptions and responsibility.
  5. Reconfirm measured cargo, documents, capacity and rate validity before booking.

Limits

The score measures completeness only. It cannot detect incorrect carton sizes, undeclared batteries, the wrong HS code, restricted imports, expired prices or delivery constraints. A forwarder and, where needed, a customs or dangerous-goods specialist must validate those points.

Can I request a quote before packing is finished?
Yes, but mark dimensions and weight as estimates and expect revision after final measurement.

Why is “general goods” not enough?
Carrier acceptance and customs review depend on the actual product, material, use and regulated features.

Do I need a full street address?
A postcode and address type may support early planning, but pickup and final delivery normally require a complete confirmed address.

Does EXW include export clearance automatically?
Do not assume so. Confirm the named place and the exact allocation of loading, pickup and export responsibilities in the contract and quotation.

Can this checker calculate duty?
No. Duty depends on verified classification, customs value, origin and destination rules.

What should I do after reaching 100%?

Frequently asked questions

Does a 100% score guarantee a bookable rate?
No. It means the core request fields are present. A forwarder must still validate measurements, cargo acceptance, documents, route capacity and current pricing.
Can I use estimated dimensions?
Yes for early planning if they are clearly labelled as estimates. Booking and final pricing should use measured outer packaging.
Why do I need both pickup and delivery details?
Domestic collection, port choice, remote-area charges, final-mile equipment and delivery appointments depend on exact locations and address type.
What is a named place under an Incoterm?
It is the specific location attached to the rule, such as EXW Shenzhen or FOB Yantian. The rule alone does not identify the operational handoff point.
What counts as special cargo?
Examples include batteries, liquids, powders, magnets, chemicals, machinery with oil, branded products, temperature-sensitive goods and regulated materials.
Should I include declared value and HS code?
Yes when available. They help customs and insurance review, although classification and destination treatment still need verification.
